Privacy Policy

Last Updated: February 14, 2025

At volttieup, we take your privacy seriously. This isn't one of those policies written by lawyers for lawyers. We've tried to make this readable because we genuinely believe you should know what happens with your information when you use our budget approval workflow platform.

Operating in Thailand means we comply with the Personal Data Protection Act B.E. 2562 (PDPA). But honestly, good privacy practices go beyond just following the law. We collect what we need, protect what we have, and respect your choices.

What Information We Collect

When you use volttieup for managing budget approvals, we need certain information to make the system work. Here's what we gather and why:

Account Information

Your name, email address, phone number, and company details. Basic stuff we need to set up your account and contact you when necessary.

Usage Data

How you interact with our platform - which features you use, when you log in, approval workflows you create. This helps us improve the system.

Financial Data

Budget information, approval amounts, and transaction records. Obviously essential for a budget approval tool.

Technical Information

IP address, browser type, device information. Standard web stuff that helps us keep things running smoothly and securely.

We don't collect anything we don't need. If we ask for information, there's a specific reason tied to making our service work better for you.

How We Use Your Information

Let's be direct about this. We use your data to:

  • Provide and maintain the budget approval workflow service you signed up for
  • Process your budget requests and approval chains according to your organization's rules
  • Send you notifications about approval status changes and system updates
  • Improve our platform based on how people actually use it
  • Detect and prevent fraud or security issues
  • Comply with Thai legal requirements and financial regulations
  • Respond to your support requests when things go wrong

We don't sell your data. Period. That's not our business model and never will be.

Data Storage and Security

Your data lives on secure servers located in Thailand. We use industry-standard encryption both when data moves between your device and our servers, and when it's sitting in our databases.

Our Security Measures

Security isn't just a checkbox for us. We implement multiple layers of protection including encrypted connections, regular security audits, access controls that limit who can see what, and monitoring systems that alert us to suspicious activity.

That said, no system is completely bulletproof. We do our absolute best, but we can't guarantee perfect security. If something goes wrong, we'll tell you about it promptly as required by Thai law.

How Long We Keep Your Data

We retain your information for as long as your account is active, plus an additional period as required by Thai financial regulations (typically seven years for financial records). After that, we either delete it or anonymize it so it can't be traced back to you.

Sharing Your Information

We're protective of your data, but there are times when we need to share it with others:

  • With other users in your organization who need access to budget approval workflows
  • With service providers who help us run the platform (hosting, email services, analytics)
  • With payment processors when handling subscription payments
  • With Thai authorities if legally required or to protect our legal rights
  • With a potential buyer if volttieup is acquired (we'd notify you first)

Anyone we share data with is bound by confidentiality agreements and must handle your information according to this privacy policy and Thai law.

Your Rights Under Thai Law

You Have Control

The PDPA gives you several rights regarding your personal data. Here's what you can do:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Ask us to fix inaccurate or incomplete information
  • Deletion: Request deletion of your data (with some legal exceptions)
  • Restriction: Limit how we process your information in certain situations
  • Portability: Get your data in a format you can move to another service
  • Objection: Object to certain types of data processing
  • Withdraw Consent: Take back permission you previously gave us

How to Exercise Your Rights

Send us an email at contact@volttieup.com with your request. We'll verify your identity (to protect your data from unauthorized access) and respond within 30 days as required by Thai law. If we can't fulfill your request for legal reasons, we'll explain why.

Cookies and Tracking

Our platform uses cookies. These are small files stored on your device that help us remember your preferences and keep you logged in. We use both essential cookies (necessary for the site to function) and optional ones (for analytics and improvements).

You can control cookies through your browser settings, though disabling essential cookies will break some functionality. We use analytics tools to understand how people use volttieup, but we configure them to respect privacy as much as possible.

International Data Transfers

Your data primarily stays in Thailand. If we need to transfer information outside the country (for example, to a cloud service provider with international infrastructure), we ensure appropriate safeguards are in place as required by the PDPA.

We only work with providers who meet international privacy standards and have proper data protection agreements in place.

Changes to This Policy

We update this privacy policy occasionally to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify you via email or through a prominent notice in the platform.

The date at the top of this page shows when we last updated it. We encourage you to review this policy periodically, though we know most people don't.

Children's Privacy

volttieup is a business tool, not intended for anyone under 18. We don't knowingly collect information from children. If we discover we've accidentally collected data from someone underage, we'll delete it promptly.

Third-Party Links

Our platform might link to external websites or services. Once you leave volttieup, we can't control what happens to your data. Those sites have their own privacy policies, which you should read if you're concerned about privacy.
